How to Fill Vacant Rental Units Faster: The Proactive Landlord's System

A vacant unit costs you money every single day.  Lost rent alone: $1,000–$3,000 per month. Add marketing costs ($300–$800), screening fees ($50–$200), and 2–3 weeks of showing time. A single month of vacancy can cost $2,000–$5,000.  Most small landlords react to vacancy. They wait until move-out day, panic, rush screening, and accept the first applicant. Here's how Grassroots prevents that.  Day 90 (First renewal offer): Reach out to existing tenant. 90 days before the lease ends, we send a professional letter: "We've valued having you as a tenant. Here's our renewal offer." We present attractive terms: maintain the rent rate or offer a modest increase (3–5%). Why Day 90? It gives tenants plenty of time to decide without feeling pressured.  Days 90–65 (Follow-up communications): If we don't hear back, we send 1–2 gentle follow-ups: Email or phone call: "Did you receive our renewal offer? Happy to discuss any questions." Address concerns: "If rent is a concern, we can discuss options." Leave it open: "Let us know your decision by Day 60." This isn't aggressive. It's professional and gives the tenant space to decide.  Day 60 (Advertising cutoff): Start marketing, give notice. By Day 60, we make a decision. If the tenant hasn't committed to renewal, we START ADVERTISING. We give formal notice to the current tenant (required in most states): "Your lease ends [date]. If you'd like to renew, let us know by [date]. Otherwise, we'll be marketing the unit beginning today." This does two things: 1) Opens the marketing window, 2) Clarifies expectations (tenant knows we're looking for their replacement).  Days 60–58 (Capture professional photos within 48 hours): We schedule a photographer immediately. Photos must be live within 48 hours. Why photos matter? Professional photos reduce showings by 30% and increase inquiries by 50%. We get pictures of: Entry/living room (wide angle, bright lighting), Kitchen (clean, modern appliances highlighted), Bedrooms (spacious, natural light), Bathrooms (clean, fixtures detailed), Amenities (washer/dryer, storage, etc.)  Days 60–0 (Full two-month marketing window): Now we have a full two months to: List on all platforms (Zillow, Apartments.com, Craigslist, local sites), Screen multiple applicants, Compare candidates, Select the best tenant (not the fastest application). During this window, the existing tenant can still renew if they change their mind. Sometimes they do—and that saves us the entire marketing cycle.

Marketing Your Unit Effectively

With your two-month window, execute this marketing plan:  Platform presence: Zillow (primary listing), Apartments.com (reach different audience), Craigslist (local audience), Local sites (Nextdoor, community groups, property management sites).  Listing optimization: Professional photos (highlight amenities, natural light, space), Compelling description ("Bright 2-bed with updated kitchen, laundry in unit, pet-friendly"), Clear availability ("Available [date]"), Highlight unique features (Pet-friendly, parking, utilities included, etc.)  Response strategy: Respond to inquiries within 24 hours, Offer virtual tours (saves showing time), Screen via phone before in-person showing (save time), Schedule consecutive showings (efficiency).

Screening During Your Window

With two months and multiple applicants, screen systematically.  Use our 5-point screening process (credit check, background check, income verification, rental references, gut check).  Don't accept the first approved applicant. Get 3–5 applications and compare: Income stability, Credit score, Rental history, References feedback, Gut feel.  Choose the best fit.

Existing Tenant Renewal

At any point during your two-month window, the existing tenant can still accept renewal. If they do: Sign new lease, Congratulations: Zero vacancy gap, no marketing spend, no screening needed.
