Before leasing: Lease agreement: Current, legally reviewed, state-compliant, Fair Housing: All screening criteria apply equally to all applicants (documented), Disclosures: Lead paint, mold, bed bugs disclosed (if applicable).  During tenancy: Move-in photos: Taken and dated (document unit condition), Maintenance logs: All requests and repairs documented with dates, Incident reports: Any complaints, damages, neighbor issues logged, Communications: Important notices, emails, letters saved, Inspection reports: Quarterly walkthrough notes and photos saved.  After move-out: Move-out photos: Unit condition documented, Screening records: Saved for 3+ years (legal protection), Lease and documents: Filed and archived, Financial records: Rent payments, deposits, deductions saved.  Documentation protects you from legal liability.
